Terms, Conditions, and Cancellation Policy

The owner of this website, CAMINO COMPANIONS, is responsible for the information set forth herein.

Customer Obligations

The word ‘Customer ́́’ refers to any person who contracts a service from CAMINO COMPANIONS.

Once the Customer has completed and submitted the registration form to CAMINO COMPANIONS, only the Customer is responsible for the accuracy of the data provided during the registration. CAMINO COMPANIONS is not responsible for any consequences arising from the introduction of false or incorrect data by the Customer.

After the Customer has filled out the online registration and booking form for the tour they wish to join, paying a deposit or the full amount is the only way to confirm and hold their spot officially.

Pre-payment amounts are:

  • To confirm the trip, it is necessary to make a payment corresponding to 50% of the total of the reservation per person with a minimum of €100 per person, non-refundable, within a maximum of 7 days from the day of confirmation. The remaining amount of the booking must be paid at least 60 days before the start date of the trip. Each time Camino Companions receives a payment from you, we will send you a notification that the payment has been received correctly. The holder client making the reservation must provide a photo or copy of his/her ID card or travel document, as well as the full name and ID number of each of the other members of the reservation. In addition, for billing purposes, it is essential to provide a full address of the person making the payment.For tailor-made quotations, the booking process will be made by e-mail at info@caminocompanions.com. These quotes are valid for 30 days from the date sent.In the case of those experiences and bookings made directly in our Booking systems and purchased directly from it, the accommodation contracted, as well as the services included, are subject to confirmation by the agency. The agency will check that the planning is logistically and technically feasible, as well as confirming that there are no errors in the price indicated at the end of the planning. For this reason, such planning is not binding even if the user has made and paid the purchase.If it is not possible to carry out the Camino for any of the aforementioned circumstances, the customer is entitled to a full refund of the amount paid.
  • Private tour where one single organiser or entity (travel agency, company or organisation) handles reservations, sign-ups, payments or information on behalf of the group: 10% of the total quoted price for the estimated number of people in the group at the time of booking.

A pro forma invoice will be sent to the Customer approximately 75 days before the start of the tour as the full confirmation of your travel booking, but it can be requested at any time before this date. The remaining balance can be paid at any time up until 60 days before the start of the tour. The Customer’s registration on the tour will be officially confirmed once the total amount of this pro forma invoice is fully paid.

Cancellation Policy

At Camino Companions, a registered Retail Travel Agency, we strive to provide flexible and transparent cancellation options for our Camino de Santiago tours, in compliance with Royal Decree-Law 23/2018 of December 21 and EU consumer protection regulations. Please review our cancellation policy below before booking.

1. Your Right to Cancel
You may cancel your package travel contract at any time before the start of your trip by notifying us in writing at info@caminocompanions.com. Depending on the circumstances, a termination fee may apply, as outlined below.

If you cancel your trip, Camino Companions may charge a reasonable and justifiable termination fee, which will be calculated based on:

  • Pre-Agreed Penalties: The following penalties, if applicable, are outlined in your booking contract:
    • Cancellations made up to 60 days: 750€
    • Cancellations made 59 to 30 days before the commencement of the tour: 70% of the price
    • Cancellation made 29 days or less before the start of the tour: 100% of the tour price. No amount is refundable.
  • Custom Calculation: If no penalties are specified, the fee will reflect:
    • Unavoidable costs incurred by Camino Companions due to your cancellation (e.g., non-refunded hotel or transport bookings).
    • The potential to resell the canceled services (e.g., accommodations or transfers).
    • The timing of your cancellation relative to the trip start date.
    • Other relevant factors affecting our costs.

We will provide a detailed breakdown of any fees charged upon cancellation.

3. Cancellations Due to Unavoidable and Extraordinary Circumstances
In the event of cancellation by the Client due to *Force Majeure, Camino Companions will charge for any expenses incurred as a result of the cancellation. This amount is subject to negotiation if the client decides to postpone their tour.

  • A Customer’s absence from the tour, without prior written cancellation notice, incurs the loss of the total amount paid, plus any amount owed.

Examples of such circumstances include government-issued travel warnings or severe weather events, as verified by official sources.

4. Refunds and Postponements

  • Refunds for cancellations (including fee-free cancellations) will be processed within 30 days to the original payment method.
  • If you wish to postpone your trip rather than cancel, please contact us to discuss available options. Postponements are subject to availability and may incur administrative fees, which will be clearly communicated.

Include your booking reference number and the reason for cancellation. We will confirm receipt and provide details on any applicable fees or refunds within 48 hours.

Itinerary Changes, Flexibility & Extra Fees

Part of our value proposition is personalized service. We offer a high level of flexibility to cater to your specific needs and preferences.

We are open and flexible to your needs and changes within limits. Please keep in mind that the modifications may affect the price we initially quoted:

  • After all bookings have been made, any additional date changes will incur a fee.
  • The number of rooms/people may vary by up to 25% after this notification, with no additional fees. (For example, if the group is of 10 people and 2 people cancel, there will be no fee.) Additional rooms will be available at no extra cost, subject to availability.

Terms and Conditions

  • The Customer is responsible for managing the documentation required for the journey, including passports, visas, airport taxes, consular procedures, and, in general, any legal requirements issued by consulates, embassies, and public or private entities. CAMINO COMPANIONS does not arrange air tickets and, therefore, is not responsible for any issues arising from their acquisition, such as changes in flight schedules, flight cancellations, or airport or transport strikes.
  • The Customer understands and agrees that he/she is participating in an outdoor activity that involves walking on variable terrain and in varying weather conditions in rural or remote areas. The customer accepts all inherent risks associated with this activity and confirms that they are medically, physically, and emotionally fit to participate.
  • The customer understands and agrees that any third-party transfer fees incurred during the refund process will be deducted from the total amount.
  • If a traveler’s behavior significantly disrupts the normal coexistence or development of the trip, CAMINO COMPANIONS may request the intervention of State security forces and bodies, in accordance with applicable Spanish law. We are committed to ensuring a respectful and safe environment for all participants on our Camino de Santiago tours.
  • During our tours, CAMINO COMPANIONS may take photographs or videos to capture the experience. These materials may be used for legitimate purposes, such as promoting our tours on our website, social media platforms, or marketing materials. We will only use images or videos featuring identifiable individuals with their explicit written consent, obtained in advance via a consent form provided at the start of the tour.   • This contract shall be governed by Spanish law, and all matters arising from it are subject to the exclusive jurisdiction of the Spanish Courts.

Obligations of CAMINO COMPANIONS:

  • Camino Companions is covered by General Liability Insurance (Seguro de Responsabilidad Civil General)
  • Once the Customer has blocked a tour spot, CAMINO COMPANIONS will send an email stating the specifications for the requested tour.
  • If CAMINO COMPANIONS is required to cancel any of its programs for reasons not attributable to the Customer, the company will refund the full amount paid by the Customer up to that point.
  • For experiences and reservations made through our booking system at CAMINO COMPANIONS, the information provided to you during the booking process (e.g., itinerary, price, and travel details) forms an integral part of the package travel contract and is binding, as required by Article 154 of Royal Decree-Law 23/2018 of December 21. Before confirming your booking and accepting payment, CAMINO COMPANIONS will verify that the planning is logistically and technically feasible and that the indicated price is correct. Once your booking is confirmed and payment is made, the contract is binding and will not be modified unless both parties expressly agree in writing.   • Once the tour begins, the Customer may withdraw at any time, forfeiting all payments made to CAMINO COMPANIONS. No refunds will be owed.
  • CAMINO COMPANIONS reserves the right to change, modify, or cancel a tour before departure due to insufficient participants. The Customer will be informed of any issues at least 100 days before the tour start date. Any modifications or cancellations do not generate any penalisation or compensation fees from the Company to the Customer.
  • CAMINO COMPANIONS has no obligation to indemnify or refund payments to its Customers on the following assumptions:
  • When the reasons for failure to execute the contract are attributable to the Customer.
  • When the impossibility of complying with the agreed conditions arises, the tour is attributable to a third party and is unpredictable and insurmountable.
  • When the trip is cancelled due to force majeure.
    • Force Majeure means conditions beyond the control of the parties, unusual and unforeseeable consequences that would have been unavoidable despite due diligence, such as natural disasters.
